Policies and Procedures Cancellation Policy ResortQuest Outer Banks must receive all cancellations in writing and prior to check-in. You may cancel your reservation via mail, fax or email. The tenant is responsible for verifying that ResortQuest Outer Banks has received notice of cancellation. If ResortQuest is unable to re-rent the property, any and all prepiad monies will be forfeited. If the home is re-rented for the full term of the original rental period, and at the original renta rate, the leaseholder will receive a refund of any prepaid monies less the $160 (plus tax) handling fee and a $100 cancellation fee.
Check-In Time ResortQuest Outer Banks has three check-in days: Friday, Saturday and Sunday. Your home's individual write-up and the front of your lease will specify the check-in day that applies to your house. Check-in begins at 4:00 PM as homes become available. We do our best to have your home ready by that time, but we cannot guarantee the exact time of occupancy due to the significant amount of cleaning, inspecting, and maintenance required. If we are still in the process of preparing your home, please do not enter. However, do feel free to enjoy the beach and outside amenities (excluding the pool and/or hot tub). Please do not do your grocery shopping ahead of time; we are unable give you access to the refrigerator prior to check-in. For security reasons, DO NOT ENTER THE HOME OR USE THE POOL OR HOT TUB UNTIL AFTER 4PM.
Departure Check-out time is promptly at 10:00 AM. Due to the significant amount of cleaning, inspecting, and performance of maintenance required prior to the next check-in, the check-out time of 10:00 AM is required. Any guests in the home after 10:00 AM will be charged a $200.00 "late check-out fee.” The evening prior to departure, place all trash in outside receptacles and leave receptacles by the road. Leave all towels in the home and leave your beds unmade. Clean and reshelf all dishes or place in dishwasher and begin cleaning cycle. Clean out the refrigerator. Close and lock all windows and doors. Account for all beach chairs. Return keys to our office by 10:00 a.m., or if your home has a TESA (electronic key) entry system you may leave key cards on the kitchen counter. (Please do not throw away electronic key cards as they are recycled.) If you were given hard keys please return them to your check-in office upon departure. Failure to return hard keys will result in a $10.00 charge per set of keys, plus postage to return them to us. Before you leave, read and follow the check-out procedures found in your Front Porch magazine and above. It is very important that you lock all doors and windows. You may contribute to our food pantry by leaving any unopened, non-perishable items in our office lobbies. If your house is left in poor condition and requires extra cleaning you will be charged an additional fee.
Deposits Upon making your reservation, a lease agreement will be sent requesting your signature and advance deposit. The deposit will be equivalent to fifty percent (50%) of the listed rental rate plus a $160 (plus tax) handling fee (see "Handling Fees" section) and an optional travel insurance fee, which protects you from unexpected events. The signed lease agreement and your deposit must be received in our office within 10 days of your reservation date. If payment is not received within 10 days, your reservation will be canceled without further notice. If you DO NOT wish to purchase the travel insurance, you may delete the charge by initialing where indicated on the front of the lease and excluding the insurance premium in your initial payment. (For coverage details, see the "Travel Delay " section.)

Distance to the Beach (DTB) Distance to the Beach (DTB) is determined by measuring, in feet, from the driveway of the vacation home to the nearest community beach access for oceanside properties only. This information is approximate and is not deemed to be a true source of accuracy.
Fax & Mail Service You may send and receive mail or packages through our office via Federal Express or the US Postal Service. Please make sure your outgoing mail is at our office by 11 a.m. Federal Express letters and packages are called in for pricing and next day pick-up; you must pay the amount due prior to pick-up. Also, please be sure the leaseholder's name and your ResortQuest Outer Banks house number appear on anything you might receive. Although we attempt to call everyone who receives faxes, packages, mail or telephone calls, it is your responsibility to check daily for correspondence. Fax machines are available for guest use during regular business hours ($1 per page - payable by cash). Our fax numbers are as follows: Duck Office (252) 261-1692; Corolla Office (252) 453-2886. Please ask that senders include the leaseholder's name and property number on the fax sheet.
Final Payments Your remaining balance is due 30 days prior to your arrival date. This balance includes the remaining fifty percent (50%) of the listed rental rate, a $55 fee for the Security Deposit Protector (see "Security Deposit Protector" section), sales tax of 6.75% and occupancy tax at 6% (Currituck County) or 5% (Dare County). If you have chosen a home that accepts dogs, the pet fee of $200 (plus tax), will be due with your final balance payment. Taxes are subject to change. Please mark this on your calendar, as NO INVOICE IS SENT FOR THE FINAL PAYMENT.
Handling Fee All reservations include a handling fee of $160 (plus tax). This fee is non-refundable if the guest cancels. The handling fee is automatically added to a reservation and will appear as a separate line item on the guest's folio.
Hot Tubs/ Heated Pools/ Fireplaces Most hot tubs are available at no additional charge during the winter months. However, some hot tubs require an additional charge to be brought up; please check with our Pool and Spa department to see if this charge applies to your property by calling (252) 453-3033 and selecting menu option "3." Heated pools are available from May 2 - June 7 and again from September 14 - October 11. Pool temperatures vary and degree of warmth cannot be guaranteed. Gas fireplaces are shut down from May 29 - September 18.
Linens & Terry ResortQuest Outer Banks provides all guests with bed linens and towels during their stay. Each bed is made upon arrival by our housekeeping crews and one bath towel is provided for each guest that the home sleeps.
Lost and Found If you leave something behind, call us and we will make every effort to locate and return it to you C.O.D. Items unclaimed after 28 days will be donated to a local charity. We are not responsible for any items left behind, or those that may be lost or stolen.
Methods of Payment Acceptable forms of payment include personal check (only accepted outside of 30-day period prior to arrival), cashier's check, certified check, money order or e-check. Make checks payable to ResortQuest Outer Banks. Please remember to include your reservation number on your payment. All payments must be paid in U.S. dollars. There is a $25 handling fee for all returned checks. If you prefer the convenience of paying by credit card, a non-refundable fee of $39.95 (subject to change) will be charged by a third party processor. We accept Visa, MasterCard, American Express and Discover. To pay by credit card or e-check, simply call our Accounting department at (800) 962-0201.** Once your signed lease agreement and advance deposit are received, a confirmation of lease agreement will be mailed to the leaseholder. Reservations made less than 30 days prior to your check-in date require full payment by credit card, cashier's check, certified check or money order mailed overnight. We cannot accept personal checks at check-in. **If a credit card is used by someone other than the leaseholder, it is necessary to obtain a credit card authorization from the cardholder and the same fee will apply.
Minimum night stay & Mini-Vacations In-season vacations can be made in weekly increments only.
Occupancy The occupancy limitation of each resort home is designated in the individual property descriptions. This number, as it appears in the brochure and on your confirmation lease, is the MAXIMUM total occupancy. Children are counted in total occupancy unless they are under age two and normally sleep in a crib. Over-occupancy is a violation of your vacation rental agreement and will cause an expedited eviction as allowed by the Vacation Rental Act.
Office Hours Our offices are open seven days a week, 360 days a year. We are closed Thanksgiving Day, Christmas Eve, Christmas Day, New Year's Eve and New Year's Day.
Off-Season w/Private Pools Off-Season w/ Private Pools: Homes w/ private pools have two (2) off-season rates: the "Off w/Pool" rate indicates when pools are open during the off-season, and the "Off" rate indicates when pools are closed during the off-season. THIS IS NOT AN OPTIONAL POLICY.
Parking Parking capacity of our rental properties never exceeds the number of bedrooms in the property (never to exceed five) and is usually the same as the number of bedrooms in the property. For example, a three-bedroom would typically have enough parking for three average size vehicles; a four bedroom would have parking for four, etc. Please keep in mind that condominiums usually only have enough parking for two vehicles per individual condo. Please note that parking restrictions are STRICTLY ENFORCED in many areas of the Outer Banks. Do not park on the street in front of your rental property and risk being towed or ticketed. Local ordinances prohibit the connection of RVs to the property at any location. RVs may be used for transportation only and may not be parked in the driveways of properties in some communities.
Pet Policy There is no need to leave your dog in a cramped kennel for a week; several ResortQuest Outer Banks homes allow your dog to vacation with you. Homes allowing dogs have a limit of two domestic, housebroken dogs with a weight limit of 75 pounds each, unless otherwise noted within the home's description. A $200 (plus tax) fee will be added to your lease agreement. Let us know when making your reservation if your furry friends are coming along. Dogs in non-dog homes, and any pet other than a dog, are strictly forbidden, and will result in your eviction.
Property Availability ResortQuest would love to welcome you back for a return visit! Current guests will have until Tuesday morning at 9 am after check out to reserve the same house for the same week the following year. All other reservation requests will be taken 51 weeks in advance (the Tuesday after the week passes beginning at 9 am). Tentative Reservation Requests are not reservations, but tentative holds that are contingent upon four factors: 1) The home must be in our program the following year 2) The dates must be made available by the homeowner 3) The current year guest does not renew for the following year, and 4) if there is a request that precedes yours. If there is a conflict with any of these requirements, the Tentative Hold will be void. The Tentative Hold does not lock in current-year rates. The rental rate will be reflected on the lease agreement sent once we receive the Property Management Agreement back from the homeowner (this normally occurs July through December). Once the Property Management Agreement has been returned from the homeowner, leases will be mailed in the order received. ResortQuest cannot be held responsible for leases not received or lost in the mail. Please check with us frequently for the status of your request. If you are a repeat guest in the same home, please remember that if you do not place a tentative reservation on your house by the Tuesday after your vacation week passes, it will become available to others. All tentative reservation requests must be submitted in writing by filling out our Tentative Reservation Request form. You will receive one of these forms upon check-in or you may obtain one by calling 800-962-0201. You must complete and return the Tentative Reservation Request form prior to check out or by the Tuesday after your departure.
Repairs We pride ourselves on our maintenance staff. They are here to help you and provide timely service. Please respect the fact that emergencies take precedence! Emergencies consist of fire (call 911), flood and lockouts only. If you have an emergency during non-business hours, please call the number provided on your check-in packet. A staff member will return your call as soon as possible. Be sure to have the following information ready: leaseholder's name, house number, address, brief description of the problem, and phone number where you can be reached. For non-emergency calls after business hours, call your rental check-in office - Duck (252) 261-1136 or Corolla (252) 453-3033 - and leave a message including the leaseholder's name, house number and a brief description of the problem. We will schedule a staff member to handle your request.

Security Deposit Protector and Security Deposit The Security Deposit Protector coverage portects both you and the owner's home in the event of abnormal loss, wear and damage to real or personal property within the rental home during your occupancy. The fee for the Security Deposit Protector is non-refundable. In exchange for this fee, ResortQuest, on behalf of the property's owner, will waive costs of reported accidental loss or damage to the contents of the rental property during your occupancy. The Security Deposit Protector does not cover negligence or willful and wanton misconduct. The Security Deposit Protector is limited to maximum total of $1,500 damage payment per stay, per unit, and is applicable for the guest's entire stay. The Security Deposit Protector fee is automatically added to a reservation and will appear as a separate line item on the guest's folio. It is not part of the calculation when discounting a reservation. Please note any damage to the property upon your arrival and report it immediately to our office to avoid possible liablity. If any loss or damage occurs during your stay, please notify us immediately. All damage must be reported prior to departure for the Security Deposit Protector to apply. We inspect every home after each guest's departure; if loss or damage is reported after your stay that exceeds the $1,500 coverage or is not covered by the Security Deposit Protector, the leaseholder will be held responsible. The guest may elect to pay a cash security deposit in lieu of the Security Deposit Protector fee. (Please check with one of our vacation specialists for the amount of the security deposit required for your home.) All security deposits will be refunded in full or, in the event of damage or loss, in part within 45 days following the conclusion of the guest's occupancy. If loss or damage is reported after your stay that exceeds the coverage, we will contact the leaseholder to bring about resolution to the issue. Please note: Not all homes allow the Security Deposit Protector option.
Special Events Properties welcoming weddings, receptions, family reunions, executive retreats or any other functions that will exceed the occupancy limit of the home will be noted in the bulleted section of the Property Detail page. SPECIAL EVENTS CANNOT BE BOOKED ONLINE; YOU MUST CALL US AT 800-962-0201 TO BOOK A SPECIAL EVENT PROPERTY. All special events are subject to homeowner's approval. Prior to booking your home you will need to complete and submit a Special Event Approval Form listing the details of your event such as date and time, number of guests, catering and music arrangements, etc. This form can be obtained by downloading it from our "Weddings" page or by calling our Special Events Coordinator at (800) 962-0201 x 1158 or by email at lrussell@resortquest.com. Please be aware that special events will cost the guest a $1,000 Special Event Fee and a refundable security deposit of $1,500.
Telephone Use All ResortQuest Outer Banks resort homes have telephones for your convenience and safety. Some of our homeowners have installed the Advantage Plan through a company called NAVIS. What this means to you is unlimited free long-distance calls (domestic and international) from that home. If your property features the NAVIS Unlimited Long Distance amenity, we ask that you not make operator-assisted long distance phone calls as they are not covered under this program. The phone number to your home appears on your lease under the heading "About the Resort Home." If the homeowner did not sign up for the Advantage Plan, then you must use your calling card, credit card or cell phone to make long distance calls, as calls other than local calls are blocked from that home
Tentative Reservation Request and Advanced Bookings ResortQuest would love to welcome you back for a return visit (or a first visit!) with no Advance Booking Fees! Current year guests will have until 9:00am on the Tuesday morning after check-out to request the same house for the same week the following year. All requests must be submitted in writing. Always remember whom you spoke to. Also, we cannot disclose your order on the waitlist. ResortQuest Outer Banks offers, a “Book Now, Pay Later” program. Book your 2009 vacation by November 17, 2008, and your first payment (due within 10 days) is just $500, plus the booking fee and optional trip insurance. Your second payment - equal to 50% of the rent minus the $500 deposit - is due by December 15, 2008. The remaining balance is due 30 days prior to your arrival date. Terms and Conditions We rent to family groups only and not to undergraduates. In-season reservations can be made for weekly increments only. Please read the lease carefully, sign it and return the lease along with your check made payable to ResortQuest within the 10-day limit. This confirmation lease is a vacation rental agreement under the North Carolina Vacation Rental Act. The rights and obligations of the parties to this agreement are defined by law and include unique provisions permitting the disbursement of rent prior to tenancy and expedited eviction of tenants. Your signature on this agreement, or payment of money or taking possession of the property after receipt of the agreement is evidence of your acceptance of the agreement and your intent to use this property for a vacation rental. All checks are deposited in the agent's interest-bearing account with interest paid to the agent until disbursement. Many of you will vacation with other family members or friends, although only one member of your party will sign the lease. The leaseholder is responsible for payment, deposits or other responsibilities as detailed in the lease. Please read your lease carefully. Travel Delay/Cancellation ResortQuest Outer Banks offers optional vacation insurance from AIG. If you wish to purchase vacation insurance, you must include payment for the premium along with your signed lease agreement within 10 days of making your reservation. The premium is 6% of your total booking cost, excluding the cost of the Security Deposit Protector. Travel insurance covers loss of rent if your reservations are interrupted due to hurricanes, travel delay, trip interruption, baggage delay, medical transportation, medical expenses, emergency medical transportation and accidental death or dismemberment. We highly recommend purchasing this coverage for your financial protection. It is especially helpful in situations where we would be unable to recoup your advance rent payment if you needed to cancel your reservation, or in the event of a mandatory storm evacuation. Without travel insurance, you will not receive a refund in the event of a mandatory hurricane evacuation, as defined by law in the North Carolina Vacation Rental Act. The agent receives a fee from this trip insurance.
